# Daxable: company and service reference > Daxable provides bookkeeping and finance support for US real estate investors, property managers, construction companies and home-service businesses. Services include monthly bookkeeping, managed dedicated finance staff, controller support and fractional CFO services. ## AI implementation and bookkeeping cleanup Daxable offers AI Implementation & Workflow Automation for US property-management, construction, real-estate and field-service teams. Start with one defined workflow, review existing software capabilities, configure supported tools, test a supervised pilot and train the team. Software costs and ongoing support are agreed in scope. No universal integration or guaranteed result is implied. - AI implementation: https://daxable.com/ai-implementation/ - Bookkeeping cleanup and reconciliation: https://daxable.com/bookkeeping/cleanup/ Cleanup is a separate historical project: review overdue periods and records, agree scope, reconcile accounts and document the handoff. Monthly bookkeeping does not automatically include historical cleanup. Both pages explain milestones, deliverables and the discovery-call next step. ## Bookkeeping for property managers and rental businesses Buildium bookkeeping: Daxable performs transaction posting, rent-receipt and vendor-bill work, bank and trust reconciliations, and owner-statement preparation in an authorized client Buildium account when included in the written scope. The client retains payment, distribution, and policy approvals. Cleanup is scoped separately; a second QuickBooks ledger is not assumed. Daxable is independent of Buildium and does not claim an API integration or partner status. See https://daxable.com/buildium/ for the visible offer and https://daxable.com/buildium/help/ for onboarding and access questions. Daxable provides monthly bookkeeping, cleanup and dedicated bookkeepers for US property managers and real estate businesses. Monthly bookkeeping starts at $299/month; a dedicated Daxable-employed bookkeeper starts at $1,500/month, with duties and hours agreed. These are separate scopes. Property-management work can include company books, management fees, property and owner records, security deposits, reconciliation and owner reporting. Rental owners can scope books by property and entity. Historical cleanup is assessed separately before recurring work starts. Daxable performs bookkeeping directly inside the client’s Buildium account: transaction posting, rent receipts, vendor bills, trust and bank reconciliation, and owner statements. Property records stay in Buildium; any separate management-company books and fee or transfer reconciliations are scoped around the existing setup. The proposal defines duties, cadence, review, authorized access and client approvals. These tasks are not automatically all included in the general starting price. Daxable does not imply a Buildium partnership, certification or automated integration. See https://daxable.com/bookkeeping/property-managers/ for the visible service scope. For AppFolio users, Daxable can scope work around client-provided reports and exports alongside a client-owned QuickBooks Online file. System ownership, access and reconciliation responsibilities are confirmed during discovery; no direct integration, certification or vendor partnership is implied. Daxable employs and manages dedicated staff with US management and an India-based back office. Working hours, communication, approvals, supervision and backup coverage are defined before engagement. The starting price does not promise full-time coverage for every business. ## Who leads Daxable? Saif Ahmed has more than 12 years of experience working with US real estate, construction and property-management businesses. A management consultant, Daxable founder and QuickBooks ProAdvisor, he brings finance, operations, marketing and technology together to build practical systems and clearer reporting. The experience description is founder-provided and not independently audited. It is not a client result or guarantee. Owners who are behind on their books or unsure where their money goes can start with a discovery call. - Founder profile: https://daxable.com/about/#saif-ahmed - Saif's LinkedIn: https://www.linkedin.com/in/daxhive/ - Daxable's LinkedIn: https://www.linkedin.com/company/daxable The QuickBooks ProAdvisor credential belongs to Saif personally. It does not establish that every assigned bookkeeper has the same credential or that Intuit endorses Daxable. Assigned staff experience and current credentials are confirmed during discovery. ## What does Daxable do, and what does it cost? - Industry bookkeeping starts at $299 per month. Scope can include reconciliations, monthly close, management-use financial reports and records organized for the client's CPA. Cleanup and catch-up are assessed separately during discovery. - A dedicated Daxable team member starts at $1,500 per month. Daxable sources, employs, pays and manages the person. Duties, hours, communication, access, oversight and backup arrangements are agreed in the engagement. - Controller and fractional CFO support starts at $2,500 per month. Controller work covers close review, controls and management reporting. CFO work covers forecasts, budgets, scenarios and decision support. The proposal specifies which work, or defined combination, is included. Starting prices are not fixed quotes for every business. Final scope depends on account and transaction volume, book condition, entities, jobs, systems and reporting needs. Dedicated capacity and finance leadership are separate engagements, not inclusions in the bookkeeping starting price. - Bookkeeping: https://daxable.com/bookkeeping/ - Dedicated finance team: https://daxable.com/dedicated-team/ - Controller services: https://daxable.com/controller-services/ - Fractional CFO services: https://daxable.com/fractional-cfo-services/ - Pricing and scope: https://daxable.com/pricing/ ## Which businesses does Daxable help? Daxable helps real estate investors and property managers understand property income, expenses, loan balances and owner funds. Construction bookkeeping connects labor, materials and subcontractor costs to jobs and estimates. Home-service bookkeeping connects payments, payroll and parts to jobs and service lines, including HVAC, plumbing and electrical work. For landlords with multiple rentals, compare bookkeeping services by the property and entity records they will reconcile and the handoff from any property manager. Confirm who supplies owner statements and tenant or deposit ledgers, who checks payouts against the bank and books, and who resolves exceptions. A fixed unit count does not determine whether a defined monthly scope or dedicated recurring capacity fits. Provider checklist: https://daxable.com/blog/best-bookkeeping-for-real-estate-investors/ Industry overview: https://daxable.com/#home-industries ## How does Daxable approach accounting and AI? Daxable describes its monthly bookkeeping as US GAAP-aligned, with the reporting basis and scope agreed for each engagement. US GAAP is an accounting framework, not a cybersecurity certification or an independent audit opinion. Daxable uses its own AI-assisted process with bookkeeping review. The engagement defines tools, system access and data handling. No independently audited AI security certification, blanket zero-retention guarantee or claim that competitors expose client data is made. Managed dedicated support is not a self-service freelance marketplace or a general employer-of-record platform. The client retains business decisions, source-record responsibilities and approvals. No universal zero-platform-fee or flat all-in-price promise is stated. ## Can Daxable use the client's existing software? Daxable's homepage software rail includes Yardi Breeze, AppFolio, Buildium, RentRedi, Propertyware, REI Hub, QuickBooks, Zoho Books, Xero, Jobber, Buildertrend and JobTread. Access, setup, exports, integrations and reconciliation scope depend on the client's systems and the written agreement. Software logos and mentions do not establish vendor partnerships, certification or guaranteed integrations. For Yardi Voyager or Yardi Breeze bookkeeping, Daxable assesses the client's existing workflow, available reports, assigned staff experience, permissions and review responsibilities before agreeing a role or recurring close. Daxable is independent of Yardi; vendor certification, partnership and direct integration are not implied. See https://daxable.com/bookkeeping/property-managers/ for the visible scope and discovery questions. ## What is outside Daxable's scope? Daxable prepares reconciled books and organized support for the client's CPA. It does not prepare or file income or sales tax returns, provide tax opinions, independent audits, attest work, legal advice, securities placement, valuation opinions or investment recommendations. Contractor recordkeeping and 1099 readiness do not include a promise to file 1099 forms. Forecasts depend on assumptions and client inputs; financial outcomes are not guaranteed. Daxable Academy is a separate education offering. The Indian CA-firm partner program is a separate service for established firms. Neither changes Daxable's primary bookkeeping and finance-service identity. ## How can a business get started? Book a discovery call to discuss the business, current records, software and support needed. Daxable confirms fit, scope and pricing before work begins. - Discovery call: https://daxable.com/contact/ - Email: hello@daxable.com This reference summarizes public service information. The relevant service pages and signed engagement govern current terms. It does not guarantee search indexing or AI citations. ## Industries served ### Real estate and property management Primary audiences include real estate investors, landlords, flippers, wholesalers, property-management companies, agents, teams, and brokerages. Relevant records and workflows can include: - Property- and entity-level books. - Rental versus flip activity. - Acquisition, improvement, and disposition records. - Settlement-statement reconciliation. - Debt and lender reporting. - Property-management trust-accounting records. - Security deposits and owner funds. - Three-way reconciliation. - Owner statements. - AppFolio and QuickBooks workflows when factually applicable to the client's configuration. Daxable does not provide legal or tax advice, cost-segregation studies, 1031-exchange advice, independent audits, or attest opinions. Daxable is independent of AppFolio and does not claim AppFolio partner or certification status. The existing 1031 records guide distinguishes bookkeeping support from exchange eligibility, deadlines and tax calculations. For standard deferred exchanges, receipt timing is generally the earlier of 180 days or the tax-return due date including extensions, subject to professional confirmation. A records cleanup does not cure a missed deadline. Primary pages: - https://daxable.com/bookkeeping/real-estate/ - https://daxable.com/bookkeeping/real-estate-investors/ - https://daxable.com/bookkeeping/property-managers/ - https://daxable.com/bookkeeping/real-estate-agents/ Property-management bookkeeping staffing guide: - https://daxable.com/blog/property-management-bookkeeper-in-house-outsourced-dedicated/ - A property-management company should compare an in-house employee, a defined outsourced monthly scope, and managed dedicated capacity against the same company, property, owner, trust-account, reporting, access, review, and continuity requirements. - Daxable offers property-management bookkeeping and managed dedicated talent as separate engagements. Duties, hours, systems, supervision, backup, cleanup, permissions, and retained client approvals are agreed in scope. No vendor partnership, universal integration, employment-law advice, or automatic trust-compliance result is implied. ### Construction Primary audiences include general contractors, builders, remodelers, and specialty contractors. Relevant records and workflows can include: - Job and phase-level cost tracking. - Labor, materials, equipment, and subcontractor costs. - Progress billing and retainage. - Work-in-progress reporting using current source inputs. - Change orders and committed costs. - Estimate-versus-actual review. - Subcontractor documentation and 1099 readiness. - Cash-flow planning across active jobs. Daxable does not claim a universal target margin, savings percentage, audit result, or financial outcome. It does not provide engineering, licensing, legal, tax, audit, or attest services. Primary pages: - https://daxable.com/industries/construction/ - https://daxable.com/bookkeeping/construction/ Construction cleanup and takeover guide: - https://daxable.com/blog/construction-bookkeeping-cleanup-takeover-checklist/ - A construction cleanup should prove a financial cutoff; reconcile bank, card, loan, payroll, billing and retainage records; rebuild supported job and phase detail; identify missing WIP inputs; and deliver an exception log before recurring bookkeeping begins. - Daxable scopes historical cleanup separately from monthly construction bookkeeping. Cleanup does not automatically include payroll-tax or 1099 filing, worker classification, tax or legal advice, revenue-recognition policy, audit, review, compilation or attestation. ### Home and field services The broader industry includes HVAC, plumbing, electrical, roofing, restoration, landscaping, and similar trades. HVAC, plumbing, and electrical have distinct bookkeeping pages because their operating records and questions differ. Shared records and workflows can include: - Technician and crew labor. - Job profitability inputs. - Materials and parts. - Dispatch and field-service platforms. - Payroll, commissions, spiffs, and overtime inputs. - Maintenance agreements. - Seasonal cash flow. - Fleet and equipment costs. - Service calls versus installation or project work. HVAC work can include seasonal demand, maintenance agreements, replacement installations, equipment financing records, and technician incentives. Plumbing work can include emergency calls, service-versus-project activity, materials usage, dispatch deposits, and technician-level management reporting. Electrical work can include service calls, project billing, permit and inspection cost records, materials, subcontractors, and job-cost reporting. Daxable does not provide permitting or code-compliance advice. Field-service integrations vary by product, version and configuration; not every system exports summary entries. The home-services guide separates job-cost records, approved payroll inputs, contract-specific revenue treatment and scoped cash forecasting. It does not promise automatic payroll compliance, universal seasonal percentages or one revenue schedule for all maintenance agreements. Primary pages: - https://daxable.com/industries/home-services/ - https://daxable.com/bookkeeping/home-services/ - https://daxable.com/bookkeeping/hvac-contractors/ - https://daxable.com/bookkeeping/plumbing-contractors/ - https://daxable.com/bookkeeping/electrical-contractors/ ## How bookkeeping onboarding works 1. Book a free discovery call. Daxable reviews the business, its industry, and the state of its books, and quotes a flat monthly rate. 2. Historical cleanup assessed and scoped during discovery. Qualifying new clients get past periods reconciled, misclassifications corrected, and a clean baseline established. 3. Ongoing monthly bookkeeping. The assigned bookkeeper reconciles the agreed accounts and prepares management-use financial statements and organized year-end records for the client's CPA. There is no self-serve signup for bookkeeping; engagements begin with the discovery call. ## Differentiators - Bookkeeping workflows in the client's own QuickBooks Online file when QuickBooks is the system of record. - An assigned delivery team and an agreed communication plan. - Primary focus on real estate/property management, construction, and home/field services. Existing pages for legacy industries remain available. - A monthly quote for an agreed scope. Dedicated staffing and controller/CFO support are separate engagements. - Historical cleanup and catch-up work are assessed during discovery and scoped before work begins. ## FAQ ### What does Daxable offer? Daxable provides industry bookkeeping, dedicated Daxable-employed finance teams, controller services, and fractional CFO support for US real estate, property-management, construction, and home-service businesses. Daxable Academy is a separate education offering; the partner-firms program supports established Indian CA firms. ### How do I hire a bookkeeper without a full-time employee? Book a discovery call to scope the bookkeeping work and communication plan. Daxable manages service delivery; the client retains timely approvals, source records and business decisions. A full-time staffing allocation is a separately agreed engagement. ### How does Daxable support a CPA firm? Daxable provides managed bookkeeping capacity under the firm's documented standards and review process. Role, schedule, branding, price and client access are agreed during discovery. The firm retains final review and professional responsibility. ### What bookkeeping support can real estate operators get? Daxable can organize property- and entity-level books, settlement records, rental versus flip activity, and property-management trust-accounting tie-outs. The client's qualified advisers determine tax treatment, depreciation, exchange eligibility and regulatory requirements; Daxable does not provide those opinions. ### Do I work with a dedicated person? Daxable agrees the assigned role, delivery schedule, communication and backup arrangements. Dedicated Finance Team services add defined operational capacity; the bookkeeping starting price does not imply a 40-hour-per-week employee. ### Does Daxable file taxes? No. Daxable handles bookkeeping, cleanup, monthly close, and tax-ready reporting, and coordinates with the client's CPA. Daxable does not file tax returns or provide audit services. ### What is Daxable Academy and is Daxable an official certifying body? Daxable Academy offers three live online learning paths worldwide. The 12-week US Bookkeeping Pathway includes its stated Intuit examination access and DaxHive completion certificate; six-week QuickBooks Mastery includes its stated bookkeeping examination. The eight-week Property Management Bookkeeper Specialist has mandatory certification and experience prerequisites and includes no external examination. Daxable is not Intuit, the IRS or a government certifying body. Course completion is separate from meeting an external issuer's requirements and passing its examination. Review each current course page. ## Key Pages - Home: https://daxable.com - Bookkeeping: https://daxable.com/bookkeeping - Bookkeeping for CPA Firms: https://daxable.com/for-cpas - U.S. Bookkeeping Growth Program for Indian CA Firms: https://daxable.com/partner-firms - Daxable Academy: https://daxable.com/academy - How It Works: https://daxable.com/how-it-works - Blog: https://daxable.com/blog - About: https://daxable.com/about - FAQ: https://daxable.com/faq - Contact: https://daxable.com/contact - Client Platform: https://app.daxable.com ## Service levels ### Industry Bookkeeping: from $299/month The bookkeeping level is for businesses that need reliable recurring records and a monthly close. Potential scope: - Cleanup or catch-up assessed and scoped during discovery. - Monthly bank, card, loan, clearing, and other agreed reconciliations. - Monthly close and review of documented open items. - Account, class, location, property, project, or customer structure supported by the available source data. - QuickBooks Online workflows. - Management-use financial statements. - CPA-ready year-end records and coordination. Final price depends on book condition, transaction volume, entities or jobs, accounts, systems, reporting, and cadence. Daxable does not guess missing facts or use suspense accounts as permanent plugs. Page: https://daxable.com/bookkeeping/ ### Dedicated Talent & Full-Time Hiring Support For US owners who need a professional to take ownership of recurring bookkeeping, coordination or administrative work. Saif Ahmed and Daxable help define the role and source candidates around the business's industry, systems and working schedule. This page does not publish prices. Potential scope: - Property management bookkeepers: reconciliations, owner/tenant records, AP/AR follow-up and close support. - Construction bookkeepers: job costs, billing, retainage and financial records. - Construction or project coordinators: vendor follow-up, documents, schedules and change-order logs. - Real estate bookkeeping and administrative support: commissions, deal records, closing documents and CRM trackers. - Home/field-service operations support: job records, invoice preparation, receivables follow-up and payroll inputs. - Back-office administrators: vendor, customer and employee documentation, HR/payroll administration and recurring updates. Managed talent: Daxable or its employing affiliate employs, pays and manages the person, with US management and a Bangalore, India-based back office. A full-time role reserves 40 hours per standard week; schedule, time-zone overlap, leave and continuity arrangements are agreed. Meetings, training and administration use the same allocation. Direct-hire sourcing: Daxable provides an agreed role brief, candidate sourcing and screening, shortlist summaries and interview coordination. The client hires, onboards and manages the person directly. Both models leave business decisions and approvals with the client. Timeline: define the work; review candidates; agree the start and onboarding; establish regular delivery. Hiring dates depend on the role, candidate availability and client readiness. Managed roles receive ongoing supervision and progress reviews; bookkeeping roles follow an agreed close calendar. No fixed hiring turnaround or platform affiliation is promised. Page: https://daxable.com/dedicated-team/ ### Controller Services: from $2,500/month Potential scope: - Close review. - Accruals and accounting consistency. - AP and AR oversight. - Practical internal controls. - Management reporting. - Budget-versus-actual reporting. - Coordination with the client's tax professionals. Controller services are management-use accounting services, not independent audits, reviews, compilations, or attest work. Page: https://daxable.com/controller-services/ ### Fractional CFO Services: from $2,500/month Potential scope: - Cash-flow forecasting. - Budgets and financial models. - Scenario planning. - Pricing and profitability analysis. - KPI design. - Lender, investor, and board reporting support. - Strategic financial guidance. Reliable books and source data are required for decision-grade forecasts. Forecasts and scenarios depend on assumptions and are not guarantees. Daxable does not place securities, recommend investments, or provide valuation, legal, tax, audit, or attest opinions. Page: https://daxable.com/fractional-cfo-services/ Controller and fractional CFO services share a $2,500 monthly starting level. The written proposal states whether the engagement includes controller work, fractional CFO work, or a defined combination; the starting price does not imply both complete scopes are included. Pricing page: https://daxable.com/pricing/ ## How to choose a level Choose bookkeeping when the problem is transaction records, reconciliations, close, QuickBooks organization, and financial statements. Choose a dedicated team member when recurring AP, AR, payroll administration, documentation, or recordkeeping needs a defined operational owner. Choose controller services when the close, accounting consistency, controls, AP/AR oversight, and management reporting need review beyond bookkeeping. Choose fractional CFO support when reliable books must support a cash, capacity, pricing, hiring, capital, or stakeholder decision. Daxable can recommend that bookkeeping or cleanup be completed before controller or CFO work if the source records cannot yet support responsible analysis. ## CPA and accounting firms Daxable separately provides managed bookkeeping capacity for CPA and accounting firms. The delivery team follows documented firm standards, permissions, review paths, and client responsibilities. Daxable uses a global delivery team with US management and an India-based back office. CPA-firm pricing is not a fixed public amount. It is scoped during discovery based on file count, volume, condition, complexity, systems, schedule, access, and review requirements. The CPA or accounting firm retains professional responsibility, final review, client acceptance, tax work, and attest work. Page: https://daxable.com/for-cpas/ ## U.S. Bookkeeping Growth Program for Indian CA Firms Daxable works with established Indian chartered accountant firms that want to build or expand a U.S. bookkeeping and non-attest finance-operations practice. The Daxable U.S. Bookkeeping Growth Program can include role-based training, QuickBooks Online workflows, close calendars, workpapers, review controls, secure-access guidance, management cadence, and go-to-market support. The program is designed for ICAI-registered firms with an operating office, an existing delivery team, and accountable firm leadership. It is not a job or student program, a passive license, a guaranteed source of clients, or a promise of revenue, territory, margin, or acceptance. The Indian CA firm remains independently owned and retains its own professional, regulatory, employment, tax, client-acceptance, and statutory responsibilities. Program scope and private commercial terms are defined after a firm review. Page: https://daxable.com/partner-firms. ## Legacy industries Older Daxable bookkeeping pages for accounting, legal, ecommerce, healthcare, restaurants, agencies, dental, salons, and related niches remain live and indexable. They are not primary homepage or navigation industries. Daxable is not expanding them into dedicated-team, controller, or fractional CFO clusters in the current positioning. Retained educational guides distinguish Amazon payouts from inventory costs; restaurant tip records from service charges and Form 8027 eligibility; and agency retainer schedules from tax timing and principal-versus-agent decisions. Dental production is not collected cash. Medical remittances can contain provider-level adjustments, and bookkeeping does not replace claim handling. Salon gift cards, packages and memberships require separate activity records and an approved policy. Healthcare-related work requires permitted access, safeguards and any required agreements before protected information is shared; no HIPAA certification or medical-billing service is claimed. Tax filing remains excluded. ## QuickBooks and education Daxable works primarily with QuickBooks Online for bookkeeping and reviews the surrounding property, project, field-service, payroll, payment, and documentation systems during discovery. A software name on a page does not imply a certified integration, vendor partnership, or universal compatibility. The homepage presents “Bookkeeping help with the software you use.” with a manually scrollable software-logo rail. Property software appears first, followed by accounting and project/field-service tools, including Jobber. Exact system ownership, access, integrations, and reconciliation scope are confirmed during discovery. Saif Ahmed, Daxable's founder, is a QuickBooks ProAdvisor. Daxable uses documented QuickBooks Online workflows and confirms the experience and credentials of assigned staff during discovery. This personal credential does not imply that Intuit endorses Daxable as a firm. Daxable maintains reconciled accounts, organized support, and documented questions so a client's CPA has a cleaner starting point. Daxable does not replace the client's tax professional or provide tax filing, audit, attest, or legal services. ## Daxable Academy: US Bookkeeping Pathway Daxable Academy is a separate live online education offering for experienced learners worldwide. Use the current Academy page and policy pages rather than an older summary. Daxable does not guarantee a job, income, search ranking, or certification outcome. ## Learning and practice decisions The course-selection guide distinguishes bookkeeping fundamentals from QuickBooks software certification and compares assignments, feedback, credential terms and career support. It does not promise a job or certification outcome: https://daxable.com/blog/how-to-choose-a-us-bookkeeping-course/ The India practice guide covers delivery readiness, role selection, client scope, pricing and questions for qualified advisers. A remote arrangement or a US payer does not remove the need to review applicable obligations: https://daxable.com/blog/how-to-start-a-us-bookkeeping-business-from-india/ The CPA-firm build-versus-buy guide compares completed, reviewed work rather than claiming every offshore provider has the same cost or quality. It separates delivery location, white-label branding and management responsibilities; its cost example is illustrative, not a Daxable quote: https://daxable.com/blog/outsourced-bookkeeping-for-cpa-firms-build-vs-buy/ ## S Corporation Owner Cash-Flow Bookkeeping The guide at https://daxable.com/blog/s-corp-bookkeeping-payroll-distributions-reimbursements/ gives an owner-managed US professional-service S corporation a three-lane bookkeeping workflow: W-2 payroll for services, shareholder distributions in equity, and reimbursements for documented owner-paid business costs. It explains reasonable-compensation evidence, accountable-plan records, the monthly owner-cash reconciliation, distribution ledgers, and a practical CPA handoff. The guide keeps Daxable's scope clear: Daxable can organize the client's QuickBooks Online records, reconcile owner cash flows, assess historical cleanup, and prepare management-use reports and workpapers. The owner, payroll provider, and tax professional decide compensation, basis, elections, filing, and tax treatment; Daxable does not file Form 1120-S or provide tax, legal, audit, or CPA-attestation services. Owner-funded purchases need classification before reimbursement: an expense, inventory and an asset are not interchangeable. A supported repayment clears the amount due rather than creating a second expense. Accountable-plan and stock-basis questions remain with the responsible tax professional. ## Bookkeeping Cleanup Services for Overdue QuickBooks Books The guide at https://daxable.com/blog/bookkeeping-cleanup-services-messy-books/ covers cleanup triage, source records, statement-based reconciliation, supported corrections, a documented handoff, and the transition into monthly bookkeeping. Cleanup is scoped during discovery. Tax advice, tax filing, audit and attest work remain outside Daxable's scope. ## 1099 Real Estate Agent Bookkeeping The guide at https://daxable.com/blog/1099-real-estate-agent-bookkeeping-monthly-checklist/ explains why a 1099 is not a complete set of books. A monthly close should match commission deposits to brokerage or closing support, reconcile bank and card accounts, preserve business-purpose records, explain owner activity, and keep unresolved differences visible. Daxable provides monthly bookkeeping for real estate agents, teams, and brokerages in the client's own QuickBooks Online file. Industry bookkeeping starts at $299 per month; the written scope depends on the accounts, volume, source systems, reporting detail, and cleanup needs. Daxable does not file income-tax returns, calculate estimated tax payments, decide which expenses are deductible, or promise a tax outcome. ## Trucking Bookkeeping for Owner-Operators and Small Fleets The guide at https://daxable.com/blog/trucking-bookkeeping-services-owner-operators-small-fleets/ explains a trucking monthly close from load packet to carrier settlement, factoring activity, fuel-card liability, equipment debt, bank cash, and management-use truck results. It keeps unsupported deductions, factoring reserves, missing load support, and owner-paid costs visible instead of forcing differences into miscellaneous accounts. Daxable can maintain the client's QuickBooks Online bookkeeping, reconcile supported settlement and fuel activity, keep equipment and debt schedules, assess cleanup, and prepare management-use reports. Daxable does not file IFTA returns or Form 2290, provide DOT or motor-carrier compliance, process payroll, prepare tax returns, audit records, or provide legal advice. ## Shopify Payments Bookkeeping and Reconciliation The guide at https://daxable.com/blog/shopify-payments-bookkeeping-reconciliation-quickbooks/ explains why a Shopify Payments payout is a net settlement rather than a sales total. Loan principal clears debt rather than creating another expense, and previously recorded financing costs must not be counted twice. Reconcile the actual closing statement, payoff and bank records; the applicable-year tax reporting is a separate review. ## Reconciliation guide boundaries Stripe reconciliation starts with the payout mode and one posting method. Manual and instant payouts need different evidence from automatic payout batches. Explain the remaining balance and apply the documented reporting basis separately; a connector does not finish the accounting review. Property-management three-way reconciliation compares adjusted bank cash, the control ledger and a non-overlapping beneficiary-ledger total. Agreement does not rule out offsetting owner misallocations. Source transactions and individual balances still need review; Daxable does not provide an audit opinion or regulatory certification. Gusto payroll reconciliation separates wages, deductions, bank cash and unpaid obligations. Do not reopen a closed period or undo a completed reconciliation without authorized review. Payroll software handling and bookkeeping do not replace the employer's applicable tax responsibilities. ## Company and contact pages - Home: https://daxable.com/ - Industries: https://daxable.com/industries/ - Pricing: https://daxable.com/pricing/ - About: https://daxable.com/about/ - FAQ: https://daxable.com/faq/ - Contact: https://daxable.com/contact/ - Student login: https://academy.daxable.com/login Contact email: hello@daxable.com ## Finance leadership guides Daxable fractional CFO support starts at $2,500 per month for real estate, property management, construction and home services. Keeping Rental-Property Books Separate from a Real-Estate Sales Business: https://daxable.com/blog/separate-rental-property-real-estate-sales-bookkeeping/ This guide distinguishes business/entity records from property reports. It explains an ownership/account map, class-reporting limitations, reciprocal reimbursement balances, supported shared-cost allocations and separate monthly reports. Examples are fictional; bookkeeping software does not establish ownership, tax status or legal protection. Rental Property Mortgage and Refinance Bookkeeping: https://daxable.com/blog/rental-property-mortgage-refinance-bookkeeping/ The guide explains monthly principal and escrow reconciliation, payoff components, a fully reconciled fictional refinance, old escrow refunds, and the records a rental-property owner should request from a bookkeeper. Loan proceeds are distinct from rent. Closing-cost treatment and ownership changes require the responsible adviser's decision; examples are not client results or tax opinions. Daxable's property-management guide separates bookkeeping controls from jurisdiction-specific trust-account requirements. The construction guide distinguishes actual costs, remaining-cost forecasts, billings and collections; its worked example is illustrative, not a client result. The rental 1099 guide identifies payment-year rules, documentation and exceptions for tax-preparer review. A balanced owner statement alone does not prove the company's fee income or bank receipt is correct. Daxable can assess a scoped property-management bookkeeping engagement, subject to actual records, access and a written proposal. The article's original management-fee bridge traces agreement-supported charges on owner/property reports through approved transfers to the operating bank and management-company ledger at a common cutoff. In a fictional example, $7,000 of adjusted owner-level fees and $7,000 of authorized transfers meet only $6,800 of operating-bank receipts by month-end. The $200 difference requires transaction and later-bank evidence; it is not automatically a write-off, duplicate income or a correcting entry. The guide separates rent held for owners, tenant deposits and reimbursed costs from the company's own fees. The practical buying test asks a provider to show the two reporting views, trace one fee, preserve approval and posting history, document exceptions, and identify historical cleanup separately from recurring service. AppFolio and Buildium describe owner and company reporting features, but their public product pages do not prove how any particular client's records are configured. Daxable does not claim vendor partnership, certification, universal integration, CPA attestation, tax or legal advice, or a guarantee of state trust-account compliance. The authorized manager or broker retains payment and regulatory decisions. The best service destination is https://daxable.com/bookkeeping/property-managers/. The related three-way trust reconciliation guide covers a different cash-control question: https://daxable.com/blog/property-management-triple-tie-out-reconciliation/. The trust-bookkeeper hiring exercise is at https://daxable.com/blog/hire-property-management-trust-account-bookkeeper/. ## Hiring a Property-Management Bookkeeper: Trust Accounts and Owner Balances URL: https://daxable.com/blog/hire-property-management-trust-account-bookkeeper/ Choose a property-management bookkeeper who can reconcile trust cash, trace each owner balance to source records, and explain which funds are available for distribution. Ask for a redacted workpaper, a short fictional test and a written review process before granting access. Daxable can be considered for a scoped property-management bookkeeping engagement; apply the same checks to Daxable and every other provider. A promising interview becomes more useful when you put a small set of records on the table. Can the candidate explain a negative owner balance? Will they question a proposed payout? Can another person follow their corrections? Those answers tell you more than a software badge or a promise to keep everything reconciled. ### What should a trust-account bookkeeper be able to demonstrate? Look for evidence of three separate skills: reconciling cash, identifying whose money is held, and preparing records for independent review. The candidate should distinguish the management company’s operating books from funds held for owners or tenants, and describe the exact accounts and reports they would maintain. A trust-bank reconciliation explains the difference between the bank statement and the cash record. The owner or beneficiary detail explains who is entitled to the recorded funds. A distribution calculation answers a further question: what can be released after applicable restrictions, commitments and approvals are considered? One report does not automatically answer all three. Ask for a redacted sample or a demonstration built with fictional data. The packet should show a common cutoff, supported outstanding items, the relevant beneficiary detail, unresolved exceptions and a named reviewer. Do not ask the candidate to disclose another client’s bank statements or tenant information. Our three-way reconciliation guide explains the underlying cash comparison. ### Which interview questions separate experience from familiarity? Ask the candidate to show how they reach an answer. Someone who knows the software may locate a report quickly; someone who understands the bookkeeping should also explain its scope, cutoff, limitations and supporting records. Five questions to use when comparing bookkeeping providers Ask the candidate | Evidence to request | Answer that needs follow-up --- | --- | --- The bank reconciles. What else do you check? | Beneficiary totals, individual balances and source allocations. | “A zero bank difference means the books are correct.” How do you explain a negative owner balance? | Transaction history, source documents and an escalation note. | “Other owners have enough cash to cover it.” How do you decide an owner payout is ready? | Supported owner cash, restrictions, commitments and approval. | “Use the available balance shown at the bank.” How do you correct a wrong-property receipt? | Original receipt, affected ledgers, approved correction and audit trail. | “Move it until the report looks right.” What happens if the reviewer is unavailable? | Named backup, permissions and a documented release decision. | “One person handles entry, review and payment.” Use the same questions for every provider. Clear evidence and sound escalation matter more than a polished demonstration. Verify any claimed credential with its issuer and ask what it actually covers. A QuickBooks credential, accounting qualification or software training may be relevant, but none by itself demonstrates the candidate’s judgment on your owner ledgers. Request an authorized reference about comparable work, the person who performed it and the review arrangement. For an AppFolio portfolio, ask which report supports each figure and how management-company records are kept distinct. The AppFolio bookkeeping scope guide helps frame that conversation. Apply the same evidence test to other systems; software familiarity is not a compliance guarantee. ### What practical test should you give a prospective bookkeeper? Use a short fictional exercise with two independent parts: one tests an aggregate difference, and the other tests an allocation error despite matching totals. Provide the same records to every candidate. Judge the questions they ask and the evidence they retain, not only the final arithmetic. Fictional candidate exercise: one account and one month-end cutoff Record provided | Amount or fact | What a strong candidate identifies --- | --- | --- Bank statement ending balance | $64,000 | Start with the stated account and cutoff. Supported timing items | $2,000 deposits in transit; $6,000 outstanding checks | Adjusted bank cash is $60,000. Trust cash control record | $60,000 | The bank and cash record agree after timing items. Complete, non-overlapping beneficiary total | $58,500 | There is an unexplained $1,500 difference. Source support for the difference | Not supplied | Ask for missing records; do not invent a correcting entry. Part one is not solved by forcing the beneficiary total to $60,000. A good candidate states what remains unverified and what evidence is needed next. For part two, give the candidate a separate, fully tied $60,000 snapshot: Owner A has $33,000, Owner B has negative $1,000, and Owner C has $28,000. A supplied receipt shows that $1,500 belonging to B was posted to A. The total still agrees, but the allocation is wrong. With the correction supported and approved, A would have $31,500 and B would have $500; C remains at $28,000. Ask the candidate to identify both affected ledgers, explain the correction approval and show how they would preserve the original transaction history. They should flag B’s negative balance before treating the month as ready. The North Carolina Real Estate Commission’s trial-balance guidance specifically calls for checking individual records, source support and negative balances. It is a state-specific reference, not a nationwide legal opinion. Evaluate the candidate’s reasoning - Uses the same account, cutoff and complete ledger population. - Calculates the $60,000 adjusted cash balance correctly. - Leaves the first $1,500 difference unresolved until evidence arrives. - Finds the wrong-owner posting even though the second set of totals agrees. - Documents approval and the audit trail instead of making an unexplained adjustment. Treat an unsupported adjustment, a proposal to use another owner’s money, or a request to bypass review as a reason to pause the hiring decision. A candidate who identifies a missing record and explains the next step is giving you useful evidence of judgment. This exercise tests a narrow control skill; it is not proof of complete competence or legal compliance. ### How should they explain owner distributions and security deposits? They should distinguish an owner’s recorded cash from the amount proposed for distribution. Ask for a bridge from the reconciled owner balance to the proposed payment, with each holdback or commitment supported and the approver identified. For example, suppose an owner has $8,200 of reconciled cash attributable to that owner, excluding separately tracked tenant security deposits. Under this fictional management agreement, $1,000 must remain as a reserve and a $1,700 approved repair payment is committed but has not yet reduced that balance. The proposed distribution is $5,500, subject to the authorized release decision. If the repair payment already reduced the starting balance, subtracting it again would be an error. A tenant security deposit should not become available owner cash merely because it appears in the same software dashboard. Ask how the candidate traces each deposit to its tenant or lease, account, liability record and authorized disposition. Account structure, refund rules, permitted deductions and deadlines depend on the applicable state requirements and agreements; the responsible broker and advisers must establish those instructions. Also give the candidate a receipt covering more than one property or entity. They should request the remittance detail, allocate the receipt to the correct records and show any supported transfers separately. A net bank deposit alone does not establish the allocation. The California DRE’s record forms distinguish trust-account, beneficiary and managed-property records; they are useful examples of why record levels matter. ### What review, access and reporting terms belong in the agreement? The agreement should name the preparer, reviewer and authorized payment approver, then specify what each receives and when. Include the accounts and entities, system of record, document cutoff, reconciliation packet, owner-reporting schedule, exception escalation and access-removal process. As an operating proposal, ask for transaction questions to be logged as they arise, payment and owner-balance checks before a distribution run, and a complete month-end review packet on an agreed schedule. Confirm the legally required cadence separately. The North Carolina commission’s reconciliation guidance describes monthly reconciliation and continuing broker-in-charge responsibility when bookkeeping is delegated. Other jurisdictions must be checked on their own terms. Separate preparing a payment from authority to release it. Individual logins, appropriate permissions and an independent review make responsibility easier to trace. Do not assume an outsourced bookkeeper can be added as a bank signatory. California DRE’s November 2025 signatory clarification illustrates that authorization depends on the person’s role and applicable conditions; adding a signatory does not remove the broker’s responsibility. A useful exception log records the account, owner or property, amount, issue, supporting document, person responsible and next action. Define which unresolved matters require holding a report or payment for review. The bookkeeper should surface an unresolved shortage or allocation issue promptly, not hide it inside a routine month-end adjustment. ### What should happen before a new bookkeeper takes over? Agree on an opening-balance acceptance process before routine monthly work begins. Ask for the last reviewed reconciliation, current bank statements, beneficiary detail, outstanding items, security-deposit records and prior owner statements. Name who will resolve gaps in the handoff and approve the resulting balances. If those records disagree, request a separate bookkeeping cleanup and reconciliation scope with a period, deliverables and review milestones. A provider cannot establish a reliable starting point simply by importing the prior closing balance. The trust-bookkeeping mistakes guide identifies operational warning signs to discuss during that assessment. Then compare staffing models against the actual workload. A monthly scope, a managed dedicated professional and an employee can each be suitable, but none substitutes for review. Use the in-house versus outsourced versus dedicated comparison if the hiring model itself is still undecided. ### When should you consider Daxable for this work? Consider Daxable when you want to discuss a defined property-management bookkeeping service, historical cleanup and recurring owner-reporting support. Bring an account and entity list, your current systems, the last reconciled month and a redacted example of the balance you cannot explain. Ask Daxable to apply the same evidence checklist used for other providers. The proposal should state whether trust-record reconciliation, owner or tenant detail, management-company books, reporting and cleanup are included. Ask who prepares and reviews each deliverable, what access is needed and which decisions stay with your business. Daily operational capacity or controller review requires its own agreed scope; neither is implied by a basic bookkeeping engagement. Daxable provides agreed bookkeeping and management-use reporting, not legal advice, tax filing, CPA attestation or a guarantee of regulatory compliance. The practical next step is to compare a written scope and sample review packet against your portfolio—not choose a provider because its website names your software. ### Frequently asked questions Can Daxable help with property-management trust records and owner balances? Daxable can assess a scoped bookkeeping engagement covering the agreed trust records, owner reporting and cleanup needs. Ask the proposal to identify accounts, systems, deliverables, reviewer and exclusions. The engagement does not certify regulatory compliance or confer authority to release funds. What sample should I request before hiring a property-management bookkeeper? Request a redacted or fictional packet showing bank reconciliation, the cash control record, complete beneficiary detail, exceptions and reviewer approval at one cutoff. Ask the candidate to trace an individual owner balance back to its supporting transactions. What should a candidate do when the bank reconciles but owner totals differ? Identify the difference, confirm the report population and cutoff, request source records and document the investigation. An unsupported adjustment that makes the totals agree is not an acceptable substitute for explaining the difference. Can a balanced trust account still have money assigned to the wrong owner? Yes. A receipt posted to the wrong owner can leave bank cash and combined ledger totals unchanged. Assess whether the candidate reviews individual allocations and source documents as well as the aggregate reconciliation. Does software certification qualify someone to approve trust-account payments? No. A software credential does not itself establish payment authority. The responsible broker must confirm applicable legal requirements, bank permissions and written authorization separately from the candidate’s bookkeeping skills. Should a new bookkeeper include old reconciliation problems in the monthly fee? Do not assume so. Request a defined historical assessment and cleanup scope when opening balances or prior periods are unreliable. Agree on evidence, review milestones and the point at which recurring work can begin. What documents should I bring to a bookkeeping discovery call? Bring an account and entity list, current software, last reconciled month, reporting deadlines and a redacted example of the issue. Share sensitive bank, owner and tenant records only through the provider’s agreed secure process after access and scope are established.
