How to Reconcile Gusto Payroll in QuickBooks Online

Match payroll reports, synced entries and bank cash without counting wages twice. Review benefits, timing differences and corrections before closing the month.

To reconcile Gusto payroll in QuickBooks Online, trace each payroll run from the approved report to the posted entry and related bank cash. Check the account mapping and any unpaid obligations separately. A bank match does not establish that wages, deductions or benefits were recorded correctly.

This guide retains a consulting-firm reporting example, but the cash-control workflow applies more broadly. It does not calculate payroll taxes, authorize changing pay or replace the payroll provider's instructions. Keep the employer, payroll administrator and accounting reviewer responsible for their respective decisions.

Why does the bank debit differ?

First identify the payroll run, check date, bank-debit date and pay-period dates. Gusto offers check-date, debit-date and pay-period-end options for its synced journal date. Record the selected setting and use it consistently when investigating timing differences.

One run may need several cash matches, and a bank date can fall outside the accounting period being reviewed. Create a short reconciliation record with the payroll ID, report totals, journal reference and bank references. Explain payments still outstanding rather than changing a wage amount to fit a deposit or withdrawal.

How should wages and deductions agree?

Begin with the approved payroll report. Separate gross wages, employee withholdings, employer costs and net pay. Employee deductions do not become a second wage expense merely because they are remitted separately. The journal should show each amount in its intended expense, cash or obligation account.

Illustration only: $10,000 gross wages less $2,000 employee tax withholding and $500 employee benefit deductions gives $7,500 net pay. Employer taxes and contributions would be additional components, not included in this example. A $7,500 bank debit cannot by itself prove the $10,000 wage expense or the settlement of the withheld amounts.

Compare the report and ledger by component. Investigate a difference before recoding it. A balanced journal can still contain a wrong date, department or expense account. Keep changes to the chart of accounts and mapping rules documented so the next run can be checked against the same design.

What happens to benefits and tax balances?

Gusto's integration guidance distinguishes taxes it withholds and pays from benefit or deduction liabilities owed to other parties. It says benefit deductions and employer contributions can create a liability that is cleared when the provider is paid. Do not read its tax-mapping guidance as permission to erase every payroll-related balance.

Check what has actually been paid and what remains outstanding at the cutoff. Retain provider statements and payment confirmations. If a ledger balance conflicts with the payroll report, send the evidence to the accounting reviewer; an unexplained zero is not a better result than an explained amount due.

Can the sync show project profitability?

Gusto states that its QuickBooks integration does not send information directly to QuickBooks Projects. Its own project-based consolidation is different, and contractor payments use default mappings when job or project consolidation is selected.

For a consulting firm, decide whether the useful report is by department, client engagement or employee. Prove a sample allocation from the time or project source through to the intended report. A field named project in one product is not evidence that another product's profitability report contains the same labor costs.

How should you correct a failed sync?

Capture the error, payroll ID and current entry before changing anything. Compare the entry with the payroll report, then determine whether the problem is a mapping, connection, duplicate, date or reconciliation issue. Correct the cause, not just the error status.

Gusto identifies matched or reconciled entries as a possible obstacle to re-syncing. Do not undo a completed reconciliation or reopen a closed period simply to clear a sync warning. Have the authorized accounting reviewer approve the correction method and preserve the original report, affected entries and reconciliation evidence first.

After an approved correction, verify one cash effect for each real payment, rerun the affected account checks and document any prior-period impact. A manually entered expense plus a synced payroll entry can duplicate wages even if only one amount left the bank. Confirm which entry is retained; do not delete records blindly.

What should the monthly review retain?

Keep the payroll reports, selected date convention, mapping changes, posted-entry references, bank matches, outstanding-benefit support and an exception list with an owner for each unresolved item. Separate preparation from approval where staffing allows. Restrict access to payroll detail and share only the records the reviewer needs.

Gusto says tax reconciliation payrolls can follow changes such as unemployment rates, locations or benefits, including quarterly corrections. Trace an unexpected debit to that adjustment rather than classifying it from the bank description alone. IRS Publication 15 explains that outsourcing payroll does not generally remove the employer's federal employment-tax responsibility.
